Who we are
Landlord Lifeline ("we", "us") provides property-management support services to landlords across the United Kingdom. For the personal data described in this policy we act as a data controller and in some circumstances as a processor on behalf of a landlord client.
You can contact us about privacy matters at landlordlifeline21@gmail.com.
Personal data we collect
- Landlord details: name, company, email address, phone number, correspondence address, portfolio information and billing references.
- Tenant details: name, contact details, property address, the contents of maintenance reports and any photographs or video you choose to upload.
- Contractor details: name, business details, trade, qualifications and insurance references and job records.
- Enquiry details: information you submit through our contact or consultation forms.
- Technical data: limited service logs needed to keep the platform secure and working.
How we use it and our lawful basis
- To deliver the service under our contract with a landlord client — contract.
- To triage maintenance reports and coordinate repairs, including sharing relevant details with the assigned contractor — contract and legitimate interests.
- To monitor compliance expiry dates and remind landlords — contract and legal obligation.
- To respond to enquiries and arrange consultations — legitimate interests.
- To keep records that evidence what was reported and when — legitimate interests and legal obligation.
- To collect subscription payments by Direct Debit through a regulated payment provider — contract.
Photographs and uploads
Photographs and video submitted with a maintenance report are stored in private storage and are visible only to Landlord Lifeline staff, the responsible landlord and any contractor assigned to that job. Please avoid including people or personal belongings in photographs where the issue itself can be shown instead.
How long we keep it
Maintenance and compliance records are retained for the duration of our engagement with the landlord and then for up to six years, reflecting typical limitation periods for property and contractual matters. Enquiry data that does not become a client relationship is deleted within twelve months. Records we no longer need are securely deleted.
Security
Data is held in access-controlled cloud infrastructure with encryption in transit, database-level access rules restricting each account to only its own records and audit logging of changes. Documents and report photographs are held in private storage that is not publicly accessible.
Your rights
You have the right to be informed, to access your data, to have inaccurate data corrected, to erasure where applicable, to restrict or object to certain processing and to data portability. To exercise any right, contact us using the details above. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
